THE ELECTION COMMITTEE

This year’s Election Committee comprises of:

  • Returning Officer – Eduard Wikarta, Honorary General Secretary, 19th Management Committee
  • Election Officer – Lee JiaLe, Vice-President (External Liaison), 19th Management Committee
  • Election Officer – Keane Wee Jin Yen, Vice-President (Internal Relations), 19th Management Committee

WHAT IS “COMMITTEE RENEWAL”?

Every year, the SPMS Club undergoes Committee Renewal, in which we designate some of the 🌟brightest🌟, the most 🎉talented🎉, and the most 💯motivated💯 students to positions in the Management Committee and Subcommittees of the SPMS Club! Here, they can influence school policy, bring about positive change for the student body, advocate for your collective interests, all while planning exciting events!

There are three important stages in the renewal process: Election, Co-option, and Recruitment. Scroll down to learn more about each!

This process comes first.

The Management Committee is comprised of many important roles. Each role can be distinguished as an elected role, or a co-opted role.

As its name implies, elected roles are occupied by students who are elected by the student body to a position in the Management Committee. These positions are either within the Top 5 or are Directorial.

If elected into the Top 5, one holds a position which oversees the general administration of the SPMS Club.

If elected to a Directorial position, one reports to the Top 5, and generally has charge of an Assistant Director and a Subcommittee.

This process comes next.

The Management Committee is comprised of many important roles. Each role can be distinguished as an elected role, or a co-opted role.

At the conclusion of the election process, a partial Management Committee is formed and begins the co-option process to interview and co-opt more students into the Management Committee, where they will either hold the position of Assistant Director or Representative.

This process comes last.

The SPMS Club is comprised of 7 Subcommittees which are led by the Directors in the Management Committee.

At the conclusion of the election and co-option processes, the full Management Committee is formed and begins to recruit students to form the respective Subcommittees.

Following an interview process by a Director, students can be accepted into a Subcommittee as a Subcommittee Member.

These Subcommittees assist in planning and executing events to make SPMS a fun, vibrant, and inclusive environment!

SPMS Club Tea Day

26 – 27 August 2024
From 3pm – 6pm

Prospective candidates can visit the SPMS L4 Student Lounge to talk to current Management Committee members to ask anything related to their jobs and subcommittees.

Nomination Period
(for the Management Committee Elections)

26 – 29 August 2024, 11.59pm

Prospective candidates submit their own nomination forms to run in the Management Committee Elections. Refer to the Elections section for more information.

The online platform for nomination and proposing/seconding will only open on 26 August 2024, 12am.

Nomination Review Period

30 August 2024

The Returning Officer ensures that applications either adhere to the electoral guidelines or are rejected.

Campaign Period

9 – 11 September 2024

Candidates can publicise their election campaign. The Election Committee will erect blue boards in the SPMS MAS Atrium for candidates to post their publicity material. Publicity materials are strictly only allowed at areas designated by the Returning Officer.

Cooling Off Day

12 September 2024

Starting from 11 September 2024, 11.59pm, all candidates are to halt all election campaigns and remove all publicity materials (physical and online) related to their campaign. Candidates who do not comply will be disqualified.

Voting Day

13 September 2024

All students log into the online voting portal to administer their vote.

Results Day

14 September 2024

The Returning Officer announces the result of the election.

HOW CAN I RUN FOR ELECTION?

Follow the checklist below. Note that points 1-5 are to be done before the Nomination Period deadline.

1. Select two people to back up your nomination.

  • You need one person to propose your nomination, and another person to second the nomination. These two people cannot be running for elections themselves, cannot propose/second another candidate, and must be current full-time undergraduate students pursuing courses of study in SPMS.

2. Apply for your own nomination on the online voting portal. Your proposer and seconder must access the same link to endorse your nomination. Detailed instructions for nomination and proposing/seconding will be released at a later date. Candidates who would like to withdraw their nomination may do so within the Nomination Period by contacting the Returning Officer.

3. Compile these four required documents:

  • Your e-nomination form (with all signatures);
  • Your election rally slides (max. 3 slide PowerPoint Presentation);
  • Your election poster (A3-sized, JPEG/PNG/PDF file type); and
  • Your current STARS timetable.

4. Ensure that the four documents above have the following naming format: “(Position)_(Full Name)_(Document Name)”. For example: “Secretary_EduardWikarta_RallySlides.pptx”.

5. Submit the four documents above to the Returning Officer (email address at the bottom of the page) by the Nomination Period deadline. The email subject must follow this format: “Nomination_(Position)_(Full Name)”.

6. Check that you receive acknowledgement of the submission within 24 hours. If no acknowledgement is given, re-send the email and ensure that the address is correct. Late entries will not be accepted.

7. During the Campaign Period, the Election Committee will erect blue boards in the SPMS MAS Atrium. Your e-nomination form and election poster will be pasted onto the board by the Election Committee, and will also be taken down the evening before Cooling Off Day.

8. The days of the Election Rally have been included in the Renewal Timeline (above). The exact rally timeslot will be made known to prior to the rally, and the Election Committee will arrange timeslots to accommodate your schedule (to a reasonable degree). Ensure that you are able to physically attend the rally, otherwise you will be disqualified.

9. During the Election Rally, all candidates must give a speech (max. 10 minutes for Top 5 positions, and max. 5 minutes for all other candidates) and a Q&A session (max. 30 minutes for Top 5 positions, and max. 15 minutes for all other candidates).

10. Before the start of the Cooling Off Day, halt all election campaigns and remove all publicity materials (physical and online) related to their campaign. Candidates who do not comply will be disqualified.

11. After Voting Day, the results of the elections will be made known to the student body, and you will be informed if you have been voted into office. 

WHO CAN RUN FOR ELECTION?

Aside from being a current, full-time undergraduate pursuing a course of study in SPMS, the prospective candidates:

  1. Must not have been found guilty of a disciplinary offence under the provisions of University Statute 6 on Student Discipline;
  2. Must not currently be under investigation by the Board of Discipline;
  3. Must not be on Leave-of-Absence (LOA); and
  4. Must not have been placed on academic warning or academic probation in the year of the election.

Additionally, prospective candidates who are elected as members of the Management Committee of the Students’ Union (NTUSU), Cultural Activities Club (CAC), Sports Club (SC), and Welfare Services Club (WSC) may only serve in one Management Committee.  They are not permitted to serve concurrently in the Management Committee of any other student organisation.

– One (1) Assistant Business Director
– Two (2) Assistant Events Directors
– One (1) Assistant House Director (Not confirmed yet)
– One (1) Solertia House Captain
– One (1) Peritia House Captain
– One (1) Meliora House Captain
– One (1) Sagacitas House Captain
– One (1) Assistant Publicity Director
– One (1) Assistant Welfare Director

HOW CAN I RUN FOR CO-OPTION?

The President of the incoming Management Committee will lay out the specific guidelines.

In general, prospective candidates fill out the application form here and send it to the Honorary General Secretary. The interview timeslot will be made known to the candidates once the applications have closed.

WHO CAN RUN FOR CO-OPTION?

The restrictions are the same as those applied on candidates running for election (see the Election section).

The following Subcommittees will be accepting new Subcommittee Members:

In general, prospective candidates fill out the application form and send it to the Honorary General Secretary. The interview timeslot will be made known to the candidates once the applications have closed.

WHO CAN APPLY?

Aside from being a current, full-time undergraduate pursuing a course of study in SPMS, there are no other restrictions. The only exception applies to the House Subcommittees: applicants applying to a specific House Subcommittee must belong to that House.
